Travel Tryouts Manifesto

Note: All information has been reviewed, discussed, and approved by the travel committee.

 

  • Tryout Dates: will run from the week of 4/28/25 to 5/9/25.

    • Two nights of tryouts per team. Will schedule on separate weeks and different days so if a family has a prior commitment or vacation, they can at least make one of the nights.

    • There will be a few age groups that will only need one night of tryouts.

      • Example: if a team does not have enough players for cuts, two nights would be unnecessary.

    • First night of tryouts: skills, fundamental work. Second night of tryouts: majority of time will be scrimmage/live game action. Will make it clear to the parents/players of what to expect. Attending both nights is highly encouraged.

    • Club Trainer or travel committee will be main coordinators at tryouts. Trainer or committee will be responsible for creating the drills for the tryouts.

    • If a player cannot make tryouts, they will submit an email or note to the travel registrar/committee prior to the tryouts explaining why they cannot make it. If the player cannot make the tryout, we can only go off the coach’s input.

    • Will use non-paid volunteer evaluators and will use newly created player evaluation sheets. Travel committee will gather a list of qualified volunteers to help evaluate.

  • Evaluations

    • Dual approach: will use evaluations along with coach rankings/recommendations.

    • Gather player rankings in advance from the coaches. Boys travel rep can gather the boys coach rankings and Girls travel rep can gather the girls’ rankings.

    • Will use the player evaluation form for end of season rankings/evaluations from coaches.

    • Will use the evaluators submissions as a baseline. Tie breakers to the coach and their rankings.

    • Before rosters are released, coaches will give their rosters a final review to provide any final suggestions and/or comment in case something was missed. As a volunteer coach, this will show that we truly value their time and opinion.

    • Travel committee will meet as a group to discuss, finalize rosters and teams.

    • Travel committee member cannot be part of roster decisions of their own children.

      • Unless there is no issue. Example: only 10 kids trying out for a roster of 12.

    • Roster Sizes:

      • 7v7 - at least 10 players on roster. Ideally keep 12 players if we are able to since they will need the roster size when they move up to 9v9.

      • 9v9 – ideally 13 players on roster. 14-15 is for preparing for 11v11.

      • 11v11 – Ideally 16-18.

    • Gender specific tryouts: if there is a team available, player will tryout for their gender specific team.

    • Playing up an age group requirements:

      • First confirm with parents that playing up is of interest for their player.

      • Must finish in top 3 of player rankings and receive a strong recommendation from coach on why they should play-up.

      • Other factor: playing level of the players/team in the age-appropriate group and also the older group.

      • Outlier case: if a player has played several years up and grown up with a team, we can be lenient if the coach is on the same page.

    • If a player would like to change teams’ mid-season (in between Fall & Spring)

      • Confirm with players family first.

      • Confirm with both coaches.

      • Need to have majority vote from travel committee for approval.

    • Goal is to have two teams (A & B team) per age group. If we are close to having enough for a second team, goal is to find players to create 2nd team.

      • A and B team should not be in the same division.

      • If a team would like to add a player after tryouts, must be approved by coach and travel committee.

    • When a player registers for travel soccer, goal is to have them register for the entire year (Fall & Spring), unless they register for only one season specifically.

Hanover SC Registration acceptance, payment, and refund policies.

 

Acceptance, registration, and payment of the player registration fee to a Hanover SC team confirms a player’s commitment to the team, the Club, and the fees associated with membership for the Fall season. Players are financially obligated for the Field and Team Fees at the time of acceptance regardless of whether they choose to complete the full payment at the time of acceptance or select an installment plan.   

 

Installment Plan

Registration Fees are due when a spot is accepted on a Hanover SC roster. Hanover SC offers an installment plan to help reduce the upfront financial obligation.  Each payment must be made in full by the specified dates in order for the player to remain eligible. Installments that are not made in a timely manner may result in a player being removed from their team or program, at the Travel Committee's discretion.

 

Refund Policy -  Effective May 1, 2023

Hanover SC will review requests for an adjustment to Registration Fees in the case of a significant injury or relocation, as defined below. To initiate this review, please contact the Vice President of Travel and clearly explain the circumstances.  Any adjustment or refund of fees will be determined on a case-by-case basis by the Club President and Travel VP.  Administrative fees may apply.   

 

All requests for a Registration Fee review or refund must be submitted within one month of the end of the regular season.  Under no circumstances will refunds be provided after that. Where possible, refunds will be provided in the same manner in which payment was made. Please allow 7-10 business days for Hanover SC's board to review your request and communicate its decision regarding the refund request.

 

Significant Injury

Should a significant injury occur that results in a substantial loss of play or participation in club benefits, a review of the player’s fee can be initiated by contacting the Travel VP.  A significant injury is defined as an injury that results in a player not being able to participate in team activities for more than a six week time frame. A doctor’s note to confirm the severity of the injury will be requested.

 

Relocation

Consideration for relocations outside the South Central Pennsylvania area will be given. Please contact the Travel VP with specific circumstances to begin a review.

 

Mid-Season Withdraws

Players who choose to withdraw from any programming once team acceptance is completed for reasons other than significant injury or relocation will not be eligible for a refund and will be responsible for completing any remaining payments owed through the installment plan along with any remaining team fees owed to date. Permission to re-roster with another club through any youth sanctioning body (i.e.EPYSA, US Club Soccer or USASA) will not be granted until all fees have been paid. Permission to register for Hanover SC future tryouts will not be granted until all outstanding balances have been paid to Hanover SC.
